When Rockwell Automation convened industry innovators for the ROKLive EMEA event, a comprehensive conference and exhibition production was staged at Svenska Mässan Gothia Towers. Over several days, more than 700 attendees from across Europe participated to engage with presentations, demonstrations, and technical discussions on the future of industrial automation.

The event integrated a conference, technical demonstrations, an exhibition, and studio recordings within a single production. Adapt was responsible for the complete technical delivery, ranging from stage production and projection in the main congress hall to equipment in breakout rooms, LED solutions in the exhibition hall, and studio recordings.

Throughout the event, numerous breakout rooms were utilized, enabling participants to engage in demonstrations and practical sessions. Each room was equipped with customized solutions for video, audio, and lighting, and staffed with a dedicated technician to ensure the seamless operation of presentations and demonstrations.

Large-scale Projection and Live Studio

The main conference sessions were held in the congress hall, where Adapt constructed a stage featuring a 24 × 4.5 meter angled projection surface, comprising three entirely white screens. The image was projected using three Christie Boxer 4K30 projectors to create a cohesive large-format display solution.

Beneath the screens, set design elements, specifically the ROKLive logo cut from styrofoam, were positioned on stage risers, complemented by impactful lighting design featuring moving fixtures both above and on the stage.

Rockwell also utilized Adapt's studio within the same facility to record panel discussions and product presentations, employing a three-camera setup for dissemination across their digital platforms.

Concluding Dinner & Celebration

The event concluded with a dinner where the bleachers were retracted, transforming the venue into a festive seating arrangement for all attendees. The evening's theme celebrated the Swedish music phenomenon, featuring a live band performing classics from artists such as ABBA, Roxette, and Ace of Base.

To execute the entire production, a team of 45 Adapt personnel worked on-site — comprising project managers, technicians, and construction staff — demonstrating the scalability of production for large-scale international events.

FAQ

Technical production for a conference encompasses staging, visual solutions, audio, lighting, camera equipment, and project management. Through meticulous planning, all components can be integrated into a cohesive and functional system. Adapt assumes responsibility for the entire process — from design and technical planning to installation and operation during the event.

Extensive projection surfaces enable clear display of presentations, graphics, and video, even within large venues. Utilizing powerful projectors and multiple display areas, a cohesive visual experience can be created for the audience. Adapt designs visual solutions where size, resolution, and placement are customized to suit the venue and audience.

Breakout rooms are utilized for smaller presentations, workshops, and technical demonstrations concurrently with the main program. Each room requires tailored solutions for visuals, audio, and lighting, along with technical support. Adapt provides equipment and staffing for breakout rooms, ensuring all sessions can be executed seamlessly.

LED screens are frequently employed for presentations, product demonstrations, and visual branding. With high resolution and flexible construction, they can be configured in various formats and sizes. Adapt integrates LED solutions into both stage productions and exhibition stands to create clear and engaging display surfaces.

By recording presentations and panel discussions, the content can be utilized post-event, for instance, in marketing campaigns or internal communications. Adapt produces studio recordings featuring multi-camera setups, professional audio, and lighting to generate content suitable for digital channels.

Major conferences and international events frequently necessitate a larger production team, including project managers, technicians, and construction staff. By scaling the team according to the project's magnitude, production can be executed efficiently and securely. Adapt possesses the organizational structure and resources to deliver both smaller meetings and extensive international events.
