Arrow's "5 Years Out" at Sthlm Waterfront

EventExhibitionVisualization

Over 1,000 attendees convened at the Stockholm Waterfront Congress Centre as Arrow Electronics presented its flagship event, "5 Years Out" – a day dedicated to equipment, innovation, and education. In collaboration with the agency Telegraf, we held comprehensive production responsibility for the entire project, from initial conceptualization to final execution.

The project commenced with 3D scanning of the venues and the development of a digital twin of the facility. By operating directly within the simulated environment – incorporating precise dimensions, ceiling heights, rigging points, and sightlines – we were able to construct the entire production in 3D prior to any physical material procurement. We developed concepts and designs for both the stage and exhibition areas, executed the technical production for the keynote hall, including audio, lighting, and video equipment, constructed all exhibition booths, and managed exhibitor services for over 30 suppliers. Furthermore, we produced all printed graphics – encompassing signage, wayfinding, and branding – to ensure a clear and cohesive experiential journey throughout the entire facility.

The agenda featured keynotes from industry leaders such as IBM, Microsoft, Hewlett Packard Enterprise, Dell Technologies, and Symantec, complemented by breakout sessions, panel discussions, and a full-day exhibition.

Digital Twin Streamlined Pre-production

The project commenced with 3D scanning of the venues and the development of a digital twin of the facility. By operating directly within the simulated environment – incorporating precise dimensions, ceiling heights, rigging points, and sightlines – we were able to construct the entire production in 3D prior to any physical material procurement.

Through the visualizations, we rigorously tested stage dimensions, display surfaces, booth configurations, attendee flow, and branding zones to ensure optimal proportions and an exceptional visitor experience. This approach provided the client with a clear and assured project vision, streamlined decision-making, and enabled us to plan equipment, logistics, and personnel deployment with millimeter precision well in advance of construction.

FAQ

Larger tech events necessitate meticulous planning of stage production, breakout rooms, and exhibition areas to ensure seamless integration of programs, exhibitors, and attendee flows. By employing a coordinated structure for concept design, technical production, and exhibitor services, organizers can create an efficient and engaging event. Adapt delivers comprehensive solutions for conferences and exhibitions, integrating all components from initial concept to final execution.

3D scanning enables the creation of a precise digital model of the event venue. Within this model, stages, LED screens, exhibition stands, and audience areas can be planned to true proportions before physical construction begins. Adapt utilizes digital twins to optimize sightlines, attendee flows, and technical installations well in advance of construction commencement.

Technical production for keynotes typically encompasses scenography, LED or projection solutions, sound systems, lighting design, and camera production. The equipment is planned to ensure that presentations, panel discussions, and visual content function seamlessly throughout the program.

A well-planned exhibition area necessitates a clear layout, efficient visitor flows, and cohesive design. By coordinating stand construction, exhibitor services, and branding, organizers can cultivate an environment where each vendor achieves visibility while maintaining overall coherence.

Clear signage and wayfinding facilitate attendee navigation between stages, seminars, and exhibition areas. Concurrently, graphic elements reinforce the event's visual identity and contribute to a more professional and cohesive experience.

Adapt offers a complete delivery encompassing concept development, 3D visualization, stage production, technical production, stand construction, exhibitor services, and graphic production. By consolidating all components into a coordinated production, organizers can execute large-scale events with superior quality and efficient logistics.
